Following last month’s preview, we’re officially launching the XtraPOS AI Hub, bringing intelligent automation to one of the most time-consuming areas of retail operations: goods receiving and supplier invoice processing.


But AI is only part of the story. This month’s update also introduces a new generation of inventory lifecycle reporting, greater control across multi-outlet operations, and deeper visibility throughout the POS.


Together, these enhancements are designed to help retailers reduce manual work, make faster decisions, and get more value from every item they buy and sell.


Meet the XtraPOS AI Hub: Automated Goods Receiving


The future of Accounts Payable and stock intake is here.

Receiving goods and processing supplier invoices can be a repetitive, time-consuming process, particularly for businesses managing large numbers of suppliers, products, and deliveries.


The new XtraPOS AI Hub is designed to take much of that manual work out of the equation.


Automated Invoice Reading

The AI Hub can now read and extract data directly from incoming supplier invoices, reducing the need for manual data entry and significantly speeding up the goods receiving process.


Instead of spending time entering invoice information line by line, teams can let AI handle the initial data capture and focus their attention where it matters most.


Instant Discrepancy Detection

The AI Hub also adds an intelligent layer of verification.

Invoices can be automatically compared against expected orders, with the system flagging price variations and quantity discrepancies as they occur.


That means potential issues can be identified before they become costly mistakes and helping retailers avoid overpaying, receiving incorrect quantities, or allowing discrepancies to slip through unnoticed.

Next-Generation Analytics for the Complete Inventory Lifecycle

Great retail decisions depend on having the right information at the right time.

This month, XtraPOS Cloud expands its reporting capabilities with a new set of inventory lifecycle tools designed to help retailers understand what is selling, what is slowing down, and where action is needed.


New Sell-Through Report

The new Sell-Through Report gives you a clearer view of how effectively stock is selling compared with what was purchased.


Use it to measure product performance, evaluate campaigns, and identify which products are converting stock into sales, and which aren't.


New Slow Movers Report

Not all stock moves at the same speed.


The new Slow Movers Report helps you identify sluggish inventory across your chains and outlets, giving you an opportunity to take action before products become obsolete.

Whether that means discounting, reallocating, or changing your merchandising strategy, you'll have the visibility needed to make the decision sooner.


Low-Quantity Lifecycle Report

Running low on stock can be an opportunity, or a problem.


The new Low-Quantity Lifecycle Report makes it easier to identify products approaching low stock levels, helping teams make timely decisions around promotional pricing, replenishment, or inter-store transfers.


GP% Based on Last Cost Price

Understanding your current margins is particularly important when costs are changing.

Stock Item Cards now display Profit Margin (GP%) based on Last Cost Price, alongside the traditional Average Cost calculation.


This provides a more current view of profitability and can be especially valuable in inflation-prone markets where the latest purchase cost may differ significantly from historical averages.


Deeper Sales Analysis with 6-Level Groupings

The Sales Multi-Filter Report now supports up to six levels of sales groupings, giving retailers greater flexibility to analyse performance across multiple dimensions.

This makes it easier to drill down into sales data and uncover trends that might otherwise remain hidden.


Style Number Grouping

Style Number is now available as a grouping option across both Sales Multi-Filter and Purchases Multi-Filter reports.


For retailers working with products that have multiple variants or styles, this provides another useful way to analyse purchasing and sales performance.


Faster Stock Finding Across POS & Warehouse Operations

Better back-office visibility is only half the equation. Retail teams also need to be able to find and identify products quickly on the ground.


This month, we're making that easier.


BIN Locations Now Available in POS Search

Staff can now see an item's BIN location directly from the POS search screen.


Whether an item is stored in a stockroom, warehouse, or on the shop floor, employees can quickly see where it is located, reducing the time spent searching for physical stock.


Variant Details in Availability Explorer

The Availability Explorer now displays Item Colour and Size directly alongside each product.


For retailers managing products with multiple variants, this makes it much easier to identify the exact item you're looking for at a glance.


More Control Over Workflows & Customer Data

We're also continuing to improve the tools that help managers control workflows and maintain accurate customer information.


Default Online Channel per User

Managing online fulfilment across multiple channels just became easier.


Admins can now assign a default online fulfilment channel to individual users.

When staff open the online orders screen, they'll automatically see the web orders associated with the channel they're responsible for, thereby helping teams get to the right orders faster and reducing unnecessary navigation.


Secondary Email Search & Display

Customer information is getting more flexible too.


The Customer Listing now displays and supports searches using secondary email addresses, making it easier for staff to locate the right customer when multiple email addresses are associated with an account.


Mandatory Customer Fields

Good decisions start with good data.


Administrators can now make additional customer fields mandatory during both manual customer creation and file imports.


This provides greater control over customer master data and helps ensure important information isn't missing from your records.


July's release represents an important step in the evolution of XtraPOS Cloud.
