August brings a powerful set of new capabilities to XtraPOS Cloud, designed to make inventory management smarter, procurement more precise, and checkout operations more flexible.
This month’s update introduces a completely new approach to replenishing discounted stock, smarter procurement reporting based on sales trends and supplier lead times, expanded payment terminal integrations, and a range of new controls designed to give businesses greater accuracy and control across both the back office and POS.

Smarter Replenishment and Procurement
Replenish according to how your business actually sells
Effective stock management isn’t just about replacing what has sold. It’s about understanding demand, product relationships, and how long it takes to get new stock through the door.
Our latest replenishment and procurement enhancements are designed to make purchasing decisions more intelligent and better aligned with real-world sales patterns.
Introducing the “Discount Cube”
Discounted products can now be grouped together into virtual “cubes”, giving businesses a more flexible way to manage replenishment.
When an item within a Discount Cube is sold, replenishment reports look at the cube as a whole. This means the system can recommend replenishing the sold quantity with any matching item within that cube, rather than requiring an exact 1:1 replacement of the original SKU.
This is particularly useful where discounted products can be substituted or replenished from a related group of items, helping businesses maintain availability while making purchasing decisions more practical.
Stock Procurement by Sales Trends
Planning your next purchase just got smarter.
A brand-new report, Reports > Backoffice > Stock Procurement by Sales Trends,
combines historical sales trends with supplier lead times to calculate your procurement requirements.
Instead of relying solely on current stock levels, the report helps you anticipate future demand and account for the time it takes suppliers to deliver.
The result is more informed procurement planning, helping you reduce the risk of stock shortages while avoiding unnecessary over-ordering.
Expanded Payment Integrations and POS Controls
More choice at checkout, with greater control behind the scenes
August also expands the payment ecosystem available through XtraPOS Cloud, while introducing new tools to help businesses manage how payments, refunds, vouchers, and transactions are handled at the till.
Direct Viva Wallet and WAMO integrations
XtraPOS Cloud now integrates directly with Viva Wallet and WAMO payment terminals.
These integrations give businesses greater freedom when choosing their payment hardware, while enabling automatic and accurate transaction synchronisation between the POS and payment terminal.
Less manual intervention means fewer opportunities for errors and a smoother checkout experience for both staff and customers.
Minimum Tender Controls
Businesses can now set minimum tender thresholds for individual payment methods directly from the POS.
This provides greater flexibility for businesses that need to establish minimum transaction values for particular payment types.
Payment Refund Restrictions
Need tighter control over refunds?
You can now restrict staff from processing refunds through selected payment methods, helping businesses strengthen cash-handling procedures and ensure refunds follow the right internal policies.
Predetermined Gift Voucher Values
Speed up voucher sales with fixed, predefined gift voucher amounts.
Instead of manually entering values, cashiers can select predetermined amounts with a single click, making the process faster and reducing input errors.
Faster navigation with Quick Touch Categories
The Quick Touch screen can now be organised into intuitive categories, making it easier for cashiers to find the products they need.
For businesses with large or varied Quick Touch selections, this provides a cleaner interface and helps speed up everyday transactions.
Export POS Sale Items directly to Excel
Need to analyse or share the items included in a live transaction?
From POS Sale > Options > Export Items, you can now export the items punched into the current POS sale directly to Excel.
It’s a simple addition that makes transaction-level analysis and reporting much easier.
More Control Over Items and Promotions
Protect data integrity while creating more targeted campaigns
This month’s update also introduces new controls for item management, imports, promotions, and coupons, giving businesses more confidence that their rules are consistently applied.
Item-Level UOM Restrictions
Units of Measure can now be controlled directly from the Stock Item card.
Businesses can define which UOMs are permitted for an item, with those rules automatically enforced across manual grid entries and bulk imports.

By enforcing UOM rules consistently, businesses can help prevent incorrect entries and maintain cleaner, more reliable stock data.
More precise promotion and coupon exclusions
Promotions can now be fine-tuned with a broader range of exclusion rules.
You can exclude:
Specific product seasons
Items with till discounts
Items priced below Level 1, Level 2, or Level 3 thresholds
Coupons can also now be configured to exclude specific brands, giving businesses more control over which products qualify for promotional campaigns.
These additional rules make it easier to create targeted promotions without unintentionally discounting products that should remain outside the campaign.
More Focused Analytics and Stock Takes
Find the information you need faster
August also brings several improvements aimed at making searching, stock counting, reporting, and valuation more efficient.
Expanded search options
Finding the right product in Stock & Availability Search is now easier with new expansion filters.
Search results can be expanded by:
Material Number
Stock Variant Family
This makes it faster to locate related or matching items when working with large product catalogues.
More focused Stock Takes
Physical stock counts can now be narrowed down using specific Product Sub-types and Material Numbers.
Rather than counting an entire range, businesses can focus their Stock Takes on exactly the products or categories they need to audit.
This can make targeted inventory checks faster and more manageable.
Automated prior-month reporting
Monthly reporting is now easier to automate.
Reports can be scheduled to run on the 1st day of each month, using offset settings to automatically generate statistics covering the entire previous month.
That means your key monthly figures can be generated automatically, without requiring someone to manually select the reporting period each time.
Inventory Valuation Price Exports
Businesses now have greater flexibility when exporting selling price information.
When exporting price lists, you can choose the price level you want to include alongside the complete stock item cost details.
This provides a more comprehensive view of inventory value and pricing, making the exported data more useful for analysis and financial reporting.
